Who we are
Exec Health Club is operated by Launch VC Pty Ltd, ABN 73 692 888 350, ACN 692 888 350. In this policy, “EHC”, “we”, “us” and “our” mean Launch VC Pty Ltd.
EHC provides online accountability coaching. A certified personal trainer and a certified nutritionist create your training and nutrition program; an EHC accountability coach helps you follow it. EHC does not provide medical care or operate a clinical records service.
This policy explains how we handle personal information when you visit exechealthclub.com, enquire about membership, subscribe to emails, make a payment or use our program and accountability support.
For privacy questions, requests or complaints, contact hello@exechealthclub.com, or write to Privacy Contact, Launch VC Pty Ltd, 56 Clarence Street, Sydney NSW 2000, Australia.
Information we collect
Earlier website email signups sent email addresses and signup sources to Klaviyo to manage subscriptions and send advice and updates. Existing subscribers can unsubscribe using the link in our emails.
At membership checkout, we collect your full name, email address, country, company position, any training goals you select and confirmation of your executive role. Selecting “Continue to payment” submits these details to EHC and prepares secure payment; it does not confirm a payment, start a membership or give marketing permission. Earlier enquiries may also include a first and last name, mobile number, company, discovery source and optional member referral name. Earlier fit assessments may also include adult eligibility, support preference and readiness to make time for training and check-ins.
Membership records may include your full name, email address, company position and country or region of residence, including information supplied through our current or earlier website checkout. We also hold membership, payment and subscription information, including transaction references, payment status and correspondence about your membership.
For program preparation and accountability support, we use information you provide about your goals, training experience, schedule, available equipment, food preferences, practical limits on activities or foods, your agreed program and your follow-through. This includes check-ins, progress you choose to share and related messages, optional photographs, voice notes or videos. The certified PT and nutritionist use relevant information to prepare the program; your accountability coach uses it to help you follow the program.
Our standalone questionnaire can be completed before joining, without an account or payment. We collect your name, email address and the answers you provide about your goals, previous attempts, work, routine, travel, challenges, training, nutrition and practical support needs. We use these details to understand the coaching support you are seeking, review your enquiry and respond.
Some fitness, nutrition or progress information can be treated as health or sensitive information under privacy law even though our service is non-medical. Where the law requires consent for that information, we obtain it separately from acceptance of membership terms and explain the purpose, relevant systems, recipients and overseas handling before collection.
We collect information directly from you and through delivering your membership, including input from the certified PT, certified nutritionist and accountability coach. We receive payment information from Stripe. We do not obtain medical records from your doctor, laboratory or other healthcare provider.
Our website host and payment provider process technical information such as IP address, browser and device information, website requests and information used to protect payments against fraud. Optional website measurement is described below.
Medical information we do not request
We do not request, interpret or maintain bloodwork results, diagnostic test reports, disease histories, prescriptions or medical records as part of EHC membership. Please do not send these materials in enquiries, onboarding responses or coaching messages.
If your treating professional has set a restriction, share only the practical instruction relevant to your program, such as an activity or food to avoid. You do not need to provide the diagnosis or clinical records behind it.
If medical material is sent to us unintentionally, we will not use it to make a clinical assessment or build a medical record. We will limit its handling to addressing its receipt and taking reasonable steps to remove it where lawful, subject to any legal preservation requirement.
Why we use it
We use personal information to respond to enquiries, confirm that the requested accountability service is within our scope, prepare and manage payments, administer membership and match you with a coach. Relevant coaching information is used by the certified PT and nutritionist to create or revise your program, and by your accountability coach to support your routine, follow-through and progress checks. We also use relevant information to resolve issues, protect the website and payments, maintain necessary business records and meet legal obligations.
We ask only for information relevant to these purposes. If you do not provide information needed to administer membership, prepare the program or deliver accountability support, we may be unable to provide that part of the service. Medical records are not a requirement for membership. You can make a general enquiry without sharing coaching information and, where practical, without identifying yourself.
Where consent is required for coaching information treated as health or sensitive information, it is separate from general acceptance of membership terms. You can withdraw consent for future handling that relies on it by contacting us. We will explain any effect on the support we can provide. Withdrawal does not undo earlier lawful processing or require deletion of records that must legally be retained.
Where applicable law requires a legal basis for processing, we use the basis relevant to the activity: taking steps you request before joining and providing your membership; complying with legal obligations; legitimate interests in administering and protecting the service where permitted and balanced against your rights; and consent where required. Any additional legal condition for sensitive information must also be met, including explicit consent where required. Payment is not blanket consent to unrelated uses of your information.
Payments and Stripe
We use Stripe to manage payments and subscriptions. After you select “Continue to payment”, our server sends your membership identity details to Stripe to prepare secure payment, including if you later leave without paying. Your selected training goals and executive-confirmation answer are not sent to Stripe.
Card information is entered directly into Stripe's payment form. Our website does not receive your full card number or card security code. We can access the membership and transaction information Stripe makes available to us to administer the service, handle refunds and respond to payment queries.
Stripe also handles information for its own payment, security, fraud-prevention and legal purposes. See Stripe's Privacy Policy.
Who receives information
Information relevant to preparing and supporting your program may be shared with the certified PT, certified nutritionist, your EHC accountability coach and EHC personnel who administer your membership. We limit access to what is needed for their role.
We use Vercel for website hosting and request processing, Stripe for payments and subscription records, and Klaviyo for email subscriptions. Google Analytics and Meta receive the limited website-event information described under “Cookies and similar technologies” when measurement is enabled. Measurement runs automatically on the public pages described below unless you turn it off or your browser sends a supported privacy opt-out signal. We explain any additional questionnaire or coaching communication provider and the relevant information handling before collecting your coaching information through it.
We use Resend to email the membership details, selected training goals and executive confirmation submitted through “Continue to payment” to hello@exechealthclub.com. This notification identifies the request as unpaid; it does not confirm membership or payment. Resend processes the information for email delivery and retains the submitted email, and EHC retains copies received in its inbox. No separate database record is created for these checkout answers. An accepted-request acknowledgement confirms the email provider accepted the request for delivery; it does not confirm delivery to our inbox. Earlier enquiries and fit assessments used the same notification provider. Marketing permission is not requested or collected through checkout. Klaviyo continues to manage existing email subscriptions; starting checkout does not create a subscription.
For the standalone questionnaire, we use Resend to email your name, email address and complete answers to hello@exechealthclub.com for EHC review and follow-up. The email provider retains submitted email copies, and EHC retains copies received in its inbox; no separate questionnaire database record is created. The overseas-handling and retention provisions in our Privacy Policy apply to this information.
Until you submit the standalone questionnaire, your answers stay in the page’s memory and are cleared if you close or reload it. We do not put these answers in URLs or browser storage. The standalone questionnaire does not load advertising or analytics services, subscribe you to marketing emails or start a calendar booking.
After your paid-member questionnaire is saved, you can choose Onboarding with EHC’s Head Coach on Calendly. When you choose to book, your name and email may be prefilled. Calendly receives information you enter on its booking page and may process device, request and cookie information. We do not add your questionnaire answers or membership identifiers to the booking link. See Calendly’s Privacy Notice for its information handling.
If you communicate with us using WhatsApp, EHC and the relevant coach receive the content you send; WhatsApp also processes information under its own terms. Your use of email and WhatsApp is subject to those providers' privacy practices. See WhatsApp's Privacy Policy and Vercel's Privacy Notice.
We may disclose relevant information to professional advisers, regulators or other recipients where authorised or required by law. Any use of your identifiable coaching story, images or progress for public marketing requires separate permission; purchasing membership is not permission to publish it.
Overseas handling
We operate from Australia and use international service providers. Your information may be processed or accessed outside Australia or your country of residence. Provider operations include the United States and, for Stripe, India, as well as other locations used by their affiliates and service providers. The location of a provider's headquarters is not a promise about where every record is stored or accessed.
Applicable privacy laws can require safeguards for overseas disclosures or transfers. We assess the relevant recipients and protections and use the safeguards required for the transfer. You can ask us about the recipients, likely countries and protections relevant to your information. This policy does not ask you to waive protections that apply to an overseas disclosure.
Cookies and similar technologies
Stripe's payment technology uses cookies and similar technologies for payment security, fraud prevention and authentication. Its fraud-prevention cookies can include __stripe_mid, __stripe_sid and m. Depending on location and enabled features, Stripe may also use technology for saved-payment authentication and service-performance analytics. See Stripe's Privacy Center for its current descriptions.
We use the Meta pixel and Meta-enabled Conversions API on our homepage, including its FAQs to measure website visits and assess our Facebook advertising. Our website checkout also reports checkout starts and confirmed initial membership purchases. Meta receives technical information such as IP address, browser and device information, cookie or advertising-click identifiers, a website-event reference and, for checkout and purchase events, the transaction value and currency. These interactions may reveal an interest in our services. Meta may associate this information with your Meta account and use it under its own Privacy Policy. We do not send checkout names, email addresses, company positions, residence selections, card information, Stripe session identifiers, coaching records, questionnaire answers or coaching goals in these advertising events. Automatic form matching and inferred event collection are disabled.
We use Google Analytics 4 on those pages to understand visits, traffic sources and basic engagement. Our website checkout also reports checkout starts and confirmed initial purchases. Google processes browser and device information, cookie identifiers, page and referring-site information without URL queries, campaign labels, and opaque transaction references with value and currency. We do not send checkout names, email addresses, company positions, residence selections, card information, Stripe session identifiers, coaching records, questionnaire answers or coaching goals. Google advertising features and Google signals are disabled. The checkout detail submission uses the limited interaction and acceptance events described below. Learn how Google uses information from sites that use its services and read Google’s Privacy Policy.
Google Analytics can record a form_start event when you begin completing the checkout details, using the fixed form name ehc_enquiry and limited page context. While analytics is enabled, validated campaign labels can remain in this page’s browser-history entry so attribution survives query removal and reload. We do not copy form answers or contact details into those labels, and clear them when analytics is turned off.
After you select “Continue to payment” and our server confirms that Resend has accepted your checkout details for delivery, the website can send Meta a Lead event and Google Analytics a generate_lead event, subject to the separate advertising and analytics choices and supported browser privacy signals. These events use the fixed label ehc_enquiry and do not include the form contents or contact details. The Meta event includes an opaque enquiry receipt reference. We keep the opaque receipt reference and timestamp in this browser for up to three days to avoid duplicate reporting and respect opt-outs. Requests made with a measurement service turned off are not reported to that service later when it is enabled. You can use checkout with measurement turned off.
On the pages described above, the available analytics and advertising measurement services are on by default. Each has a separate control in in the footer. Uncheck Analytics (Google) and/or Advertising (Meta), then Save choices, or select Turn off all to stop both. Select Turn on all to enable both again. These settings open inline only when you select them; there is no automatic privacy or cookie pop-up. An existing opt-out is respected, and we also respect Global Privacy Control and Do Not Track signals. Turning off a service stops future measurement from this browser and removes its cookies; it does not recall events already received. You can use the website and checkout with measurement turned off. Opt-out preferences remain in this browser until you change them or clear its storage. Other saved preferences last up to 180 days. Meta cookies may include _fbp and _fbc, typically lasting up to 90 days. Google Analytics cookies include _ga and _ga_*; we set their expiry to two years, renewed when used.
The former supplement guide and its website email signup form are no longer available. Earlier guide subscriptions remain managed by Klaviyo, with the email choices described above; removing the website form does not delete existing subscriber records.
Membership checkout no longer requires a prior enquiry or fit-assessment cookie. Before submission, selected goals and contact details stay in the current page’s memory. When secure payment is prepared, selected training goals can be retained in an encrypted, checkout-bound first-party cookie for up to 30 days to prefill paid onboarding. That cookie does not contain your name or email. Goals are not added to URLs. Stripe processes the payment and membership identity details needed for checkout. Selected training goals, executive confirmation and contact details are excluded from our advertising and analytics events.
For website payments, an opaque payment-recovery reference is kept in browser history so returning visitors can check the same prior payment. Optional purchase reporting stores an opaque event reference in this browser for up to three days to prevent duplicate reporting. These references contain no names or card information. Browser settings can restrict storage, which may affect payment recovery or authentication. Our legal and coaching data privacy pages do not send optional page-view events.
Keeping and protecting information
We keep enquiry, membership and coaching information for as long as reasonably needed to deliver and administer the service and meet applicable accounting, legal and dispute-handling requirements. We consider the type of record, your membership, ongoing enquiries or disputes and any legally required retention period. Our coaching records concern your program and check-ins; we do not maintain a clinical file.
We take reasonable steps to protect information against loss and unauthorised access, use, alteration or disclosure, and to delete or de-identify information when it is no longer needed and we are legally permitted to do so. No online service or communication method is completely secure. Please do not send card numbers, security codes, medical records or unrelated identity documents by email or WhatsApp.
Access, correction and other choices
You can ask us for access to personal information we hold about you and ask us to correct inaccurate, incomplete or outdated information. Depending on your location and the law that applies, you may also have rights to request deletion, restrict or object to particular processing, receive a portable copy, withdraw consent, or appeal a decision about your request. These rights can have exceptions, including where retention is legally required.
Contact hello@exechealthclub.com to make a request. We may seek information reasonably needed to verify your identity and understand the request. We will respond within the time required by applicable law and explain any lawful refusal or limitation and available review or complaint options. If a lawful fee is relevant, we will explain it before proceeding.
You can ask us to stop optional marketing communications. Service and payment messages needed to manage an active membership may continue. Contact us if you need an alternative to a particular coaching communication channel so we can discuss what is practicable.
Privacy complaints
Please tell us what happened, when it happened and the outcome you seek using the contact details above. We will review the concern, seek any relevant information needed to investigate and respond with our findings and proposed resolution.
If the matter remains unresolved, you may contact the Office of the Australian Information Commissioner, or the Information and Privacy Commission NSW for a matter within its jurisdiction. You may also have the right to contact the privacy regulator or other competent authority in your own country or region. This process does not limit any rights available under applicable law.
Children and young people
Our membership is intended for adults aged 18 or over. If you believe someone under 18 has provided personal information to us, contact us so we can assess the situation and take appropriate action consistent with our legal obligations.
Coaching information and regional rights
Privacy laws in some locations use “consumer health data” to include fitness, nutrition or other coaching information. Our separate Coaching Data Privacy Notice is the consumer health data privacy policy for information covered by applicable Washington and Nevada laws. It describes the relevant coaching information, its purposes, sources and recipients, and how to exercise those rights. These privacy protections do not change EHC's role as an accountability service.
Changes to this policy
We may update this policy as our services or practices change. The current version and its update date will appear on our website. Where the law requires additional notice or consent for a change, we will provide it.
